Admin Assistant
To assist the merchandising function within the Buying office. To ensure the purchase orders are raised and sent in a timely manner, and administratively manage purchase orders from initiation to being delivered to the business.
A highly motivated and organised person, who is able to multi task and re prioritise as the need arises. To have a meticulous eye for detail and be confident to question when appropriate, information from suppliers.

Key Responsibilities and Accountabilities
- Set up and amendment of products on JBA and management of discontinue and stop sell
- Raising of PO’s as instructed by the Merchandiser, chase through POSS to ensure it is received back according to our time scales
- Raise ME, US orders dealing with costings, queries, SPEX lists and POSS, where necessary
- US – raise US orders dealing with costings, queries, SPEX lists and POSS, where necessary
- Invoice checking and following through of queries, in a timely manner, updating of invoice log
- Matching of invoices and raising discrepancies with the correct dept. when necessary
- Co-ordinate special order requests, keeping all requests documented
- Prepare and check costings for booking in
- Prepare reporting for merchandiser to support the buy requirements
- Data entry and order management
- Season Code Management
- Template data and communication with CSD
- To provide admin support across all areas of the department
- Undertake various project work within the department
- Management of the uk buying email account
- Management of IMC forms
- NCR follow up
- General finance queries
- Strong Excel, Word and Outlook skills
- Ability to organise and prioritise own workload and meet demanding deadlines and targets
- Excellent written and oral communication skills
- To communicate with suppliers globally
- Encourage and develop supplier relationships
- Excellent interpersonal skills
